Our client is seeking a dynamic Administrative Assistant to support the Funds Administrator and Assistant Administrators on various Annuity/401k, Health & Welfare and Pension trust funds.

Job Responsibilities

  • Coordinate meetings, seminars, conferences and webinars by scheduling, catering, setting up conference rooms, arranging transportation, coordinating accommodation and expense reimbursements, and preparing agendas
  • Reconcile expense reports with receipts for the Funds Administrator and Assistant Funds Administrator
  • Organize plan documents and amendments
  • Travel planning and expense report organization
  • Maintain and organize insurance policies and service provider contracts
  • Establish and maintain correspondence files
  • Assist with annual audit preparation
  • General office management (reception back-up as needed, ordering supplies, etc.)

Job Qualifications

  • 2-3 years experience in an administrative role in a legal office to help with mailings, filings and communications with other attorneys/defendants
  • Strong working knowledge of MS Word, Excel and PowerPoint
  • Strong organizational skills and ability to multitask
  • Attention to detail and ability to effectively communicate both orally and in writing
  • Ability to quickly learn new tools and technologies. Interest and experience in using technology to improve work efficiency
  • Bachelor's Degree preferred
